Privacy statement

This statement covers the Junior Campus planning app at mijn.juniorcampus.nl, including the sign-up pages and the parent portal. The app is used by parents and guardians who sign up their child (part A) and by staff, teachers and location managers (part B).

In short

  • We only ask for what we need to take your child's situation into account during the activity, and to reach you when necessary.
  • That is all. We never use the data for anything else: no advertising, no selling, no passing it on to others.
  • Everything is stored safely within the European Union. Children do not have their own account.
  • For the technology we work with a few trusted parties that keep the app running. They are not allowed to do anything with the data.
  • What you fill in about allergies or health is seen only by the teacher of the activity and the location manager at school.
  • Photos? We ask that separately for each child, and you can always change your mind.

Part A — Parents, guardians and children

1. Which data do we process?

About you as parent or guardian

  • Name, email address and phone number.
  • Your language preference and the moment you agreed to this statement.
  • If you sign in with Google: the name and email address of that Google account. If you sign in with a code by email, there is no password.

About your child

  • Name, school and group. Date of birth only if you fill it in.
  • What you provide so the lesson is safe: allergies or dietary needs, medical particulars, whether your child may go home alone afterwards, and whether we may use photos of your child.
  • Answers to the questions asked during sign-up, for example a note for the teacher.

About participation

  • Which activities your child is signed up for, whether a place was given, and attendance per lesson.
  • If the school provides a list of participants itself: your child's name and group on that list. It contains no contact details.

Technical

  • Data needed to run and secure the app, such as your sign-in session and error reports without personal data.

We only ask for what is needed. Sensitive information, such as medical particulars, is voluntary and only useful when the teacher needs to know it.

2. Who is responsible?

Junior Campus vof (Chamber of Commerce 73530670) is responsible for the data in the app. Junior Campus organises after-school activities together with schools.

  • The school remains responsible for its own pupil records. If the school provides a participant list, it does so as part of its own task. Junior Campus records the agreements about the data with each school in a data processing agreement.
  • External providers that run an activity only see the participants of their own lessons, with the information needed to teach safely. They work under the agreements made with Junior Campus.

3. What do we use the data for?

  • Sign-up and placement. To process your sign-up, share places fairly and let you know whether your child has been placed. We also look at whether your child took part before, so that as many different children as possible get a turn.
  • A safe lesson. So the teacher knows what matters: allergies, medical particulars and whether your child may go home alone.
  • Contact with you. Emails about your sign-up, the placement and changes, the parent portal with the lesson calendar, and contact by the location manager when needed.
  • Attendance. The teacher records who was present at each lesson.
  • Accountability. We report participation to schools in numbers only, without names. Schools sometimes use that for their subsidy reports to the municipality.

What we do not do: no advertising or newsletters without separate consent, no selling of data, no profiling, no automated decisions about your child, and no use for other purposes than described here. Should we ever want to use data for something else, we will ask you first.

4. On which legal basis?

  • Performance of the agreement with you. You sign your child up for an activity; to arrange that participation we need the basic details and contact details.
  • Consent. For special categories of data, such as medical information and allergies, and for photos. You give that consent separately and can always withdraw it.
  • Legitimate interest. For securing the app and keeping a log of important actions.

No payments are made through the app.

5. How is your consent arranged?

At your first sign-up we ask you to read this statement and agree to it by ticking a box. We record when you agreed and to which version. Without that tick you cannot sign up a child.

Photos are a separate question per child at sign-up. You can withdraw that consent at any time via privacy@juniorcampus.nl or via the location manager. Photos already used will be removed where possible.

Withdrawing your general consent is always possible. We then stop processing new data and delete what we are not required to keep. It may mean your child can no longer take part via the app.

6. How do we protect the data?

  • Secure connection. Everything is encrypted over https.
  • Only those who need it. Junior Campus planners see the sign-ups. Teachers only see the participants of their own lessons. Location managers see the activities at their school. Every staff member has a personal account.
  • No passwords. Parents sign in with a code by email or with their Google account.
  • Servers in the EU. The database and hosting are in Frankfurt. Activity photos are stored with a European party.
  • Backups are made automatically and encrypted.
  • Log. Important actions, such as placing or removing a sign-up, are recorded together with who did it.
  • Confidentiality and screening. Staff and teachers are bound to confidentiality. All teachers, including those of external providers, hold a Dutch certificate of conduct (VOG) that Junior Campus checks.

7. Which parties help us?

To keep the app running and pleasant to use, we work with a small number of technical parties. They provide, for example, hosting, the database and email delivery. They do not receive the data to do anything of their own with it: each of them has agreed to process the data only for our app and never for their own purposes.

Children do not have an account, so children's data is never stored with Clerk or Google.

8. How long do we keep data?

  • Sign-ups and attendance: until two years after the school year of the last participation. This lets us share places fairly at new sign-ups and account for participation. After that we anonymise the data; only numbers remain.
  • Allergies and medical particulars: as long as your child takes part or is signed up. If you ask us to remove your child, these go too, immediately.
  • Your account: until two years after your last sign-up or sign-in, or earlier if you ask.
  • Your consent: we keep the record that you agreed for as long as we need to show that we acted correctly.

9. What are your rights?

You have the right to access (much of it you can already see in the parent portal), correction (you can update your child's details yourself at sign-up), erasure, restriction of use, objection and portability of the data you provided yourself.

Send your request to privacy@juniorcampus.nl. You will receive an answer within one month. For a complex request this may be two months; we will let you know in time. Sometimes we cannot delete something immediately because we are legally required to keep it; we will then explain why.

If you are not satisfied, you can file a complaint with the Dutch Data Protection Authority (autoriteitpersoonsgegevens.nl). We would appreciate hearing from you first so we can resolve it.

10. What do we do in case of a data breach?

In case of a data breach we investigate immediately and limit the damage. If there are risks for you or your child, we report it to the Dutch Data Protection Authority within 72 hours and inform you: what happened, which data is involved, what we did and what you can do yourself.

11. Cookies

The app only uses cookies needed to work: your sign-in session and your language choice. We use no tracking or advertising cookies and no analytics services that follow you.

12. Changes

We may update this statement. The version and date are always shown at the top. For an important change we will ask you to agree again at your next sign-up.

Part B — Staff, teachers and location managers

This part applies to anyone using the app as a Junior Campus planner or staff member, as a teacher (employed or via an external provider) or as a location manager of a school.

Which data

  • Name, email address, phone number and your role in the app.
  • For teachers: town and address, profile (bio, expertise), availability, assignments per lesson, the date and possibly a copy of your certificate of conduct (VOG), and a signed contract.
  • What you do in the app: attendance you record, status changes and other actions in the log.

For what and on which basis

  • Planning and running activities and the communication about it: performance of the employment or collaboration agreement.
  • VOG registration: legal and contractual obligation when working with children.
  • Log and security: legitimate interest.

Who sees what

Planners see the details of teachers they schedule. Location managers see the teachers at their own school. A teacher only sees the details of the children taking part in their own activity, and nothing from other activities.

Retention

Until two years after the end of the collaboration, unless the law requires longer (for example contracts and administration: seven years). A VOG document is removed as soon as the check has been recorded.

Rights and contact

The same rights as in part A. Contact us via privacy@juniorcampus.nl. If you work via an external provider, that provider is your employer and responsible for your own personnel records; Junior Campus only processes what is needed for planning.

Part C — Schools, school boards and partner organisations

This part applies to contact persons at schools, school boards, municipalities and other organisations Junior Campus works with or would like to work with (added 30 September 2026).

Which data

Name, job title or role, business email address and phone number, the organisation you work for, and notes about our contact (for example a request via the website or a conversation). No private details.

Purpose and legal basis

  • Contact about current and past activities, requests and appointments: performance of the collaboration, or the steps towards it.
  • A few times a year a mailing about our offer and news for schools: legitimate interest. We only email business addresses, write the content ourselves and send no third-party advertising. We do not measure who opens a mail or what is clicked.

Unsubscribing

Every mailing has an unsubscribe link; it works immediately and without an account. Emailing us with "unsubscribe" as the subject works too. Emails about current appointments and activities will still be sent.

Retention

For as long as the collaboration lasts and up to two years after the last contact. If you have changed jobs, we mark you as "left" and keep only what is needed for the history of the collaboration with your previous organisation.
